9. Lessons & Class Information
Please read the following conditions for lessons and classes carefully:
By enrolling in Gold Coast Tennis Academy (GCTA) classes you agree to reserve a space in your class from the date of enrolment for the entire remainder of the current public school term.
GCTA cannot guarantee a change of day or time for classes once enrolled. GCTA will endeavour to honour class times. If lessons need to be changed GCTA will make best efforts to transfer students to different day or time. If a student can’t make the change of class a refund will be issued.
RESERVED SPOT
As a student of GCTA, you are automatically enrolled for each school term. If you wish to withdraw from the program or switch times/days, we need to know by the end of week 10. We this this to ensure your spot/time is reserved along with planning our staff for the next term. You will be invoiced in week 10 for the following term.
CANCELLATION POLICY
If GCTA has to cancel any lessons due to rain or heat you will receive a text message 30mins prior to the class start time. Some classes will go ahead in the rain if it is light enough to be deemed safe.
If the temperature is above 36 degrees lessons may be cancelled (A thermometer will be placed at the club)
Rain and heat can vary from area to area If you don’t receive a message the lessons will run as normal.
If a lesson is cancelled due to the weather, a make-up class will be held on the same day and time as the existing class in Week 10. If more than 1 x make-up is needed, a makeup class may be added on a Saturday or Sunday, or students may opt to transfer their class credit to the school holiday program in the break.
Please be aware that by booking lessons you are committing to a position in a class for the term. Invoices are created on a term by term basis. If you withdraw during the term you are still responsible for the entire term fee.
You must confirm your spot in the makeup class via email info@gcta.com.au
CANNOT ATTEND THE MAKE UP:
If the scheduled weekend make up class is not possible to attend, you can contact us to see if there availability in a different class during the week.
Please note that no credits will be added to your account so if there is a weather cancellation, your make up options are:
-Week 10 make-up day (same time and day as usual lesson)
-Weekend make up session if organised (when more than 1 make up is required)
-Use credit for school holiday program.
-Alternative class with available spaces upon consultation with GCTA
SICKNESS
In the event you miss a lesson due to sickness, another commitment or planned holiday you do have the option of making up the lesson if there is available spaces in another class. These need to be within the current school term. Please Contact GCTA to find out where makeup classes are available.
In order to be eligible for a makeup lesson, GCTA need to be given 6 hours notice that the lesson will be missed (12 hours notice is required for any private lesson).
With the exception of long term illness or injury, accompanied by a valid medical certificate fees will not be reduced, refunded or credited if lessons are missed.
LONG TERM INJURY/ ILLNESS
If a student has a long term illness or injury, please inform GCTA. GCTA will issue coaching credit for any lessons missed due to long term illness/injury. (A valid medical certificate must be presented)
PHOTOGRAPHY
Sometimes we will take photos of the tennis students for marketing purposes. These may be used on our website, social media or newsletters. If you do not want your children to be photographed please email us.
PAYMENT TERMS
Payment for lessons is due in
advance and by week 1 of the new term.
GCTA can set up a regular direct debit or credit card debit if required to pay
off the terms invoice using regular weekly or fortnightly instalments. Please
contact us to pre-arrange this if needed.
Please be aware that by booking lessons you are committing to a position in a class for the term. Invoices are created on a term by term basis. If you withdraw during the term you are still responsible for the entire term fee.
A pay on time discount will apply for all payments received by the due date on the invoice.
